Reporting to the Registrar, the Academic Advisor Aviation will oversee the coordination of all activities related to academic advising and providing academic advising support to undergraduate students with a focus on improving retention of students through to graduation for the Bachelor of Arts-Aviation (BA-Aviation) and Bachelor of Commerce-Aviation (BCOMM-Aviation) as well as Aviation coordination across University units and with outside partners.

Key Responsibilities

Advising (BA and BCOMM)

Advise and provide support to BA-Aviation and BCOMM-Aviation students on academic programs, calendar and policies (i.e.: waitlists) throughout their degree progression
Develop and deliver presentations on MtA Aviation Programs to current and prospective Aviation students, including student club and society meetings
Coordinate with Deans, BSC Aviation Advisor, MARCOM and recruitment to implement strategies and tactics to raise the profile of BA-Aviation and BCOMM-Aviation with a wide range of audiences, such as with prospective students (i.e.: attending recruitment events)
In collaboration with other departments, develop and maintain innovative and cost-effective on-line and print self-tutorials and advising resources for Aviation students (e.g., social media, degree audit forms, on-line Program Evaluation, resource tutorials, FAQ's, other web-based self-help tools); constantly seek ways to improve the academic advising process
Evaluate and confirm transfer credit assessments to ensure course equivalencies are appropriate and compliant with academic regulations and suitable for students' Aviation degree program; generate with signing authority evaluations for incoming students
Conduct degree audit processes for prospective grads; identify and inform students and program advisors of non-compliance issues that place students' graduation at risk; prepare and post grad lists for Senate approval
Refer students to other resources when educational, attitudinal, attendance, financial, employment, or other personal problems require the service of other professionals
Track academic credit progression and support processes related to overloads, Dean's List eligibility, scholarships, and course demand

Administration (All MTA Aviation programs)

Represent MTA BA-Aviation and BCOMM-Aviation both externally and internally and liaise with MtA-based aviation instructors, other student advisors, the MtA Pilot in Residence and Admissions and Recruitment and other University units as required
Work with Deans and appropriate Heads of Department to implement strategies and tactics to support and develop Aviation programs.
Coordinate advising initiatives for student retention, particularly for first year, first–generation, Indigenous, international, and those readmitted on probation and those experiencing academic difficulty identified through an early alert system, to discuss academic plans for success and raise awareness of available resources
Coordinate the creation and distribution of specialized documentation (e.g., confirmation of enrolment, study/work permit letters, program changes)
Plan events, in conjunction with other members of the Registrar's office, such as conferences, seminars, guest speakers, and workshops for Aviation students.
Confirm and record flight training credit placeholders to the Registrar's Office.
Attend Aviation planning meetings monthly with Deans and other stakeholders
Perform other related duties as assigned

Qualifications/skills

A university degree is required with at least one year of comparable experience in a University; a background in Aviation is an asset but not essential
Demonstrated experience in project or program management, preferably in a post-secondary environment
Strong organizational, analytical and strategic thinking skills
Excellent interpersonal and communication abilities
Ability to work independently and demonstrate initiative
Proven ability to work collaboratively across multidisciplinary teams
Commitment to equity, diversity, and inclusion and student engagement
Keen attention to detail and ability to learn and understand all program requirements
Proficiency with computer applications in Microsoft Office, E-mail, presentation software, and a familiarity with student information systems (experience with Ellucian Colleague preferred)
Ability to work flexible, irregular hours including evenings and weekends on occasion.
First-hand experience at Mount Allison as a current or former member of the university community would be an asset
