Corporate Services Administrative Assistant

Our client, a highly respected international business law firm, is seeking a Legal Assistant to join their Calgary team. Position Overview


The successful candidate will support the Corporate Services department. The role involves managing a high volume of work with tight turnaround times.


Key Responsibilities


  • Maintain and update corporate minute books and related documentation.
  • Proofread and quality-check documents to ensure compliance with procedures and standards.
  • Organize and maintain files and ensure proper filing/scanning of all documents to ensure they are easily retrievable by principals, file/scan all paper or electronic correspondence/records into the firm's document management system.
  • Track important dates and deadlines.
  • Reconcile invoices and manage monthly expense processing.
  • Respond to general inquiries regarding the location of minute books and responsibilities of team members.
  • Scan and upload corporate documents into the firm's database.
  • Draft and print share certificates.
  • Generate share registers, director and officer registers, and shareholder transfer ledgers (subject to accurate documentation being included in the minute books).
  • Participate in special projects and initiatives as assigned.


Qualifications and Attributes


  • Completion or current enrollment in a recognized paralegal or legal assistant program is considered an asset.
  • Strong attention to detail and excellent judgment and decision making skills.
  • High level of initiative and strong organizational and project management and leadership skills.
  • Effective interpersonal skills and a collaborative mindset.
  • Excellent time management with the ability to prioritize tasks in a fast-paced environment.
  • Clear and professional communication skills, both written and verbal.
  • Ability to work independently and collaboratively within a team setting.
  • Willingness and flexibility to work overtime when needed.
