Responsibilities:

Receive Incoming Calls: Handle incoming calls from clients, gather and record detailed information about plumbing issues, and provide initial assistance or guidance.

Respond to Emails: Check and respond to emails promptly, addressing client inquiries, scheduling requests, and other communication effectively.

Create Jobs in Dispatch System: Enter job details accurately into our system, ensuring all relevant information is documented for scheduling, billing, and tracking purposes.

Schedule and Dispatch Jobs to Plumbers: Coordinate with plumbing technicians to schedule appointments based on availability, urgency, and job requirements.

Collaborate with Other Teams: Work closely with teams to ensure seamless communication and workflow coordination.

Manage Plumbing On-Call Schedule: Organize and maintain the on-call schedule for plumbing technicians, ensuring coverage for emergency situations.

Follow Up on Jobs Needing Quotes or Continuation / Completion: Monitor jobs that require quotes or ongoing work, follow up with clients, and provide updates as necessary.

Create Schedules for Larger Projects: Create schedules and timelines for bigger plumbing projects.

Familiarize Yourself with Building and Management: Gain knowledge about various building structures and management practices to better understand clients' needs and provide informed solutions, establish rapport with building administrators.

Order Parts: Coordinate with suppliers to order necessary parts and materials for jobs.

Collect Worker Orders and Cross-Reference with Jobs in dispatch System: Gather worker orders, cross-reference with job requirements, and upload data to the system.

Coordinate with Building Management: Liaise with building management when scheduling jobs that require building shutdowns, ensuring smooth coordination and minimal disruption to building operations.

Provide Brief reports to management on work done during day / week.

Other office duties such a filing, record keeping, organizing

Qualifications:

EXCELLENT English Language communications and courtesy on the phone

Flexible with Hours: Willingness to work flexible hours, including evenings, and weekends if needed.

Problem-Solving Skills: Ability to think critically, solve problems efficiently, and make decisions under pressure.

Customer Service Oriented: Strong customer service skills with a focus on delivering exceptional experiences to clients.
