<h3>Job Description</h3><p>Job Description<p>MacDonald Search Group is proud to partner with one of Vancouver’s most respected criminal law firms in their search for a highly organized, experienced Executive Legal Assistant.<br><br>***Please note, we are getting an early start on this search as the anticipated start date for this position will be in mid-April 2026***<br><br> Our client is a small but high-volume and fast-paced firm that requires their new team member to have exceptional attention to detail, strong administrative skills, and a proactive approach. You will be the cornerstone of their daily operations, providing essential support to the legal team and ensuring the smooth functioning of the office.<br><br>Key Responsibilities<br /><ul><li>Executive Support: Managing calendars, scheduling meetings, and assisting with various administrative tasks for the principal lawyers.</li><li>Office Management: Overseeing the day-to-day operation of the office, ensuring all necessary supplies and resources are available.</li><li>Client Relations: Serving as the first point of contact for the office, demonstrating excellent interpersonal skills when answering phones, greeting clients, and managing correspondence.</li><li>Document & Filing Management: Managing high-volume physical and electronic filing, maintaining an organized and accurate document control system.</li><li>Financial Administration: Performing basic financial tasks, including preparing deposits for both</li><li>Trust and General accounts and attending at the bank for deposit completion.</li><li>General Administrative Tasks: Utilizing strong computer savvy to manage email, create and edit legal documents, and utilize practice management software.</li><li>Workflow Coordination: Acting as an excellent multitasker to prioritize and manage multiple ongoing projects and deadlines simultaneously.</li></ul> Qualifications and Experience<br /><ul><li>Proven Work Experience: three to five years’ experience as an office assistant, preferably within a professional, white-collar boutique office setting (e.g., legal, accounting, finance, etc.).</li><li>Legal Office Knowledge: A working knowledge of how a law office runs/functions is highly desirable, particularly with respect to client confidentiality, file management, and basic accounting/billing practices.</li><li>Exceptional Organizational Skills and a meticulous approach to detail.</li><li>Strong Interpersonal and Communication Skills (written and verbal).</li><li>Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.</li><li>Demonstrated ability to thrive in a fast-paced, high-volume environment.</li><li>Ability to handle sensitive information with discretion and confidentiality.</li></ul> The successful candidate will become a key team member with a close-knit group of legal professionals who work hard while maintaining a fun professional environment.</p></p>Create Your Resume First
