The Royal Mental Health Centre


Duties: Processes all releases of information to health information custodians, insurance companies, schools boards, legal system (ie. Lawyers, review boards, court orders, production orders), in accordance with provincial legislation and hospital policy with respect to privacy and confidentiality, access and disclosure, and transmittal of patient information.
Coordinates charts and dispatches to the appropriate physician for approval.
Judges appropriateness of information to be sent and consults the Director if concerns arise or determined to be inappropriate.
Photocopies and collates information and dispatches to requesting party with a cover memo.
With respect to court documents (ie. production orders, court orders, subpoena), notifies appropriate parties including the Director and prepares required copies by numbering and verifying chart contents in patient file.
Provides the letter in respect to Section 35(7) Mental Health Act (MHA) for physician review (ie. MHA Form 15 process) and the letter to CEO.
Prepares and sends invoices according to the fee schedule.
Responds directly to inquiries from patients wanting access to their own health record, processes the request (as above) and if the request is approved schedules the patient’s appointment to view his/her chart in the Health Records Department.
Processes all correspondence with the Public Guardian and trustee (PG&T) relative to the admission and discharge notices.
Processes all correspondence related to the Forms 21, 22, 23 and 24 under the Mental Health Act.
Updates the Meditech ADT system to reflect these legal findings.
Communicates with the psychiatrist and CCB re scheduling of hearings including CTO related hearings done by teleconference.
Distributes the CCB notices of hearings, cancellations and decisions to the parties as well as any general correspondence from the CCB related to the matter at hand.
Notifies Director of any appeals taken from a CCB decision.
Enters in Meditech all requests for information and compiles the annual statistical data for the Director to report to the Office of the Information and Privacy Commissioner’s office.
Works in a manner that is in compliance with staff and patient/client safety practices, policies and procedures of the Royal.
Ensures a work environment that is conducive to the Royal’s Anti-Racism, Discrimination and Harassment-Free Workplace policy.
Other duties as required.
Qualifications: College diploma – Health Information Management (HIM) required.
Certification with and member in ‘good standing’ with Canadian Health Information Management Association (CHIMA) required.
Sound knowledge of PHIPA and the Mental Health Act.
Advanced level computer skills – Microsoft Office (Word / Excel).
Keyboarding skills, speed of 35 words per minute with high accuracy required.
Knowledge and experience with MediTech an asset.
Good organizational skills and interpersonal skills.
Excellent communication skills both verbal and written.
Excellent attendance.
Ability to work under pressure.
Ability to manage heavy workload and meet deadlines.
Strong attention to detail.
English level A- is mandatory in oral expression, oral comprehension, reading and writing. Bilingual (French/English) is considered an asset.
