The Residential Leasing & Tenant Coordinator is responsible for managing the leasing process and supporting tenant relations within a residential rental portfolio. This role handles rental inquiries, application processing, lease preparation, and move-in/move-out coordination to ensure a smooth and professional resident experience. The Coordinator also maintains accurate tenant records in the property management system and ensures compliance with lease terms and building policies. By monitoring market trends, maintaining online listings, and supporting retention strategies, the role plays a key part in maximizing occupancy and enhancing tenant satisfaction.

Leasing & Application Management
  • Manage the end-to-end leasing process for vacant residential suites, from inquiry to signed tenancy agreements.

  • Process rental applications, including credit and reference checks, and ensure compliance with leasing policies.

  • Conduct suite inspections prior to lease renewals and ensure all renewal documentation is accurate and up to date.

  • Recommend rental rate adjustments based on market trends and assist in drafting updated tenancy agreements.

Tenant Relations & Lease Compliance
  • Maintain positive tenant relations by responding promptly to inquiries and coordinating maintenance needs with building operators.

  • Ensure tenants adhere to lease terms, including rent payment schedules and building rules.

  • Address and escalate lease violations or tenant concerns as appropriate to maintain community standards.

  • Support tenant retention efforts by fostering a professional, service-oriented environment.

Move-In/Move-Out Coordination
  • Coordinate move-ins and move-outs in collaboration with the building operator to ensure a smooth transition for residents.

  • Ensure suites are properly inspected, documented, and prepared between occupancies.

  • Facilitate communication between tenants and operations to streamline scheduling and minimize disruptions.

Data Entry & System Management

  • Accurately enter and maintain tenant and lease data in the Yardi Voyager property management system.

  • Ensure all records are current, including contact details, lease terms, and payment history.

  • Generate reports or assist with administrative tasks as required to support operational visibility.

Marketing & Market Intelligence
  • Maintain accurate and up-to-date rental listings across platforms such as Rentfaster, Kijiji, and 4Rent.

  • Monitor competitor pricing and trends, providing recommendations on pricing strategies to senior management.

  • Identify leasing opportunities and generate tenant referrals to support occupancy goals across the residential portfolio.
