As a result of the COVID-19 pandemic and the need to strengthen and promote health protection to patients, staff and members of the public attending in the hospital, prior to the first day of employment with the Hospital, all successful candidates are required to provide proof of COVID-19 vaccination (full vaccination is required) from the Ontario Ministry of Health website or other authorized source. An individual is fully vaccinated if they have provided proof of vaccination in the form of a receipt from COVaxON (the Ministry’s provincial system for COVID-19 vaccination information) and 14 days have elapsed from the final dose.

In the event that you are unable to be vaccinated as a result of a ground protected under the Human Rights Code, you may submit a written explanation of the ground and any supporting documentation to determine if you are exempt from this requirement.



Position Summary


Unit Secretary, Mental Health
Your goal in this position is to perform administrative and scheduling support for the Mental Health Program in a confidential, sensitive and professional manner. You have effective written and spoken communication skills, use your critical thinking and problem solving skills, and embrace the challenge of prioritizing work demands in a fast paced and stressful environment.

This position supports the Hospital’s academic mandate by advancing care through teaching and learning and/or transforming care through research and innovation. This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for staff, physicians, volunteers, learners, patients and families.

On a practical level, you will

  • Support the managers in ensuring the staffing compliment and assignment is accurate for all units in the program.
  • Maintain attendance/time reporting information and arrange appropriate relief.
  • Assist the managers with the master schedule.
  • Enter, revise and manage the update of Kronos payroll data for all department staffing.
  • Prepare basic reports and data submission for the program.
  • Compile and disseminate material/documents related to department.
  • Manages confidential information in a sensitive and professional manner.
  • Prepare statistics, reports and discharge instructions, photocopying, prioritizing and processing of information as required.
  • Support and adhere to Hospital policies and procedures.

  • Qualifications

  • Grade XII diploma
  • A medical office assistant certificate or minimum one year comparable office experience with medical orientation.
  • At least three years administrative experience with computer experience.
  • Experience dealing with the public in a fast paced environment.
  • Effective written and verbal communication.
  • Accurate minimum typing speed of 45 w.p.m.
  • Proficiency in required computer programs.
  • Excellent organizational and problem solving skills.
  • Ability to function in a busy environment and prioritize under stress.
  • Ability to perform medical transcription.
  • Maturity in dealing with all contacts.
  • Bilingualism in French/English is an asset
